Ollie’s newest QuickBooks update ensures each action gets its own journal entry, detailing information on what you debited and credited.

“Brewers are great, but they are not accountants, so they do not always think of the financial outcomes of things they do in the system,” Next Glass Vice President of Brewery, Product, and Experience Dustin Jeffers says. “Their main concern is making sure at the end of the day their inventory is correct.”

Ollie QuickBooks Integration Saves 3 Sons Two Days of Work Each Week

Charon says 3 Sons brought her on as an accountant right from the start. She participated in the early testing of Ollie’s QuickBooks Integration.

At the beginning, “I was working weekly with Ollie,” Charon says. “[Jeffers] and I worked side by side to clean everything up.”

Charon says she worked with Jeffers for about a year, from mid-2022 to the summer of 2023.

“We came into 2024 with no issues,” Charon says. “Present day, everything works absolutely phenomenal.”

One improvement Charon praises is reconciling inventory and the cost of goods sold (COGS).

“There have been a lot of updates that have made all entries super user-friendly, clear, and a lot more data-driven,” Charon says. “Everything is broken down better.”

All Charon needs to do is print out the import sheets and see that everything syncs up.

“I don’t have much to do,” she says. “Just match.”

That alone has saved her so much time.

“I save at least two days worth of work each week,” Charon says. “If I had to import all that [data] info myself—oh my goodness!”

All that time saved comes with cost savings, too. Charon says the system accounts for spoilage and waste, which can lead to tax savings.

“It’s minimal,” she says. “But it’s something.”

Daily Journal Entries in Ollie’s QuickBooks Integration Is a Massive Help for 3 Sons

Having many craft brewery clients, Charon says she has worked with Ekos’ brewery management software as well as Ollie. She says she really enjoys Ollie’s offerings.

“It’s very user-friendly,” Charon says. “I understand Ekos, but folks at the brewery didn’t. Whereas Ollie is a lot more user-friendly.”

One feature she raves about is the daily journal entries.

“It makes inventory and cost of goods sold a lot easier month to month,” Charon says. “Getting those daily imports of journal entries has been a huge help.”

Charon notes that the feature updates everything daily—whatever is happening in Ollie is happening in QuickBooks.

“Also, when a brewhouse adds all the costs, the vendors, and everything they purchase, it all transfers over to QuickBooks,” she adds. “Same thing with invoices. It’s great for all accounts receivable / accounts payable.”

While it’s easier, she still says to hire a bookkeeper or accountant to run your numbers.

“A lot of brewers know beer, but not the back-end and business aspect,” Charon says. “If you have some sort of accounting knowledge, you will have no problem teaching yourself and could get a grasp within a week. But if you have no knowledge, I would say leave that to a professional.”
